AI process automation

AI process automation for your business

Skilled people should do skilled work, not copy data between systems. We automate the admin that eats your team's week, inside the tools you already use.

The problem

Signs your team is doing a system's job

In most growing businesses, the admin grows quietly. Nobody decides it should take a day a week. It just does.

  • The same data is typed into two or three systems.
  • People chase information by email before they can start work.
  • Invoices, receipts and documents are opened, read and filed by hand.
  • Someone rebuilds the same report in a spreadsheet every week.

Each task looks small on its own. Together they add up to hours every week, spread across your best people, and mistakes creep in when the same details are typed twice. None of this needs judgement. It needs accuracy and patience, which software is good at. That leaves your people free for the work you hired them for.

What we automate

The admin we take off your team

We start with the tasks that cost the most hours and carry the least judgement. Here is where that usually is.

Data entry and re-keying

Details entered once flow to every system that needs them. Your CRM, finance software and job tracker stay in step without anyone copying and pasting. A new customer added in one place appears everywhere else within minutes, spelled the same way each time.

Invoicing and receipts

Invoices raised from completed work, receipts matched to bank lines, and gentle reminders sent when payments are late. Exceptions come to a person to check. Your accounts stay current through the month, not just at month end.

Document handling

AI reads PDFs, emails and forms, pulls out the details that matter and puts them where they belong. Anything unclear is flagged, not guessed. Supplier paperwork, signed forms and order emails stop piling up in a shared inbox.

Internal handoffs and approvals

When one person finishes, the next person is told, with everything they need attached. Approvals go to the right person and nothing sits in an inbox. You can see where every job is without asking around.

Reporting and dashboards

The weekly numbers build themselves from your live systems. You get a dashboard or a short summary email instead of a spreadsheet someone has to update. The figures come straight from the source, so they match what your team sees.

How it works

Three steps, no disruption

The audit is free and takes a few hours of your team's time. At the end you get a short written plan: the tasks worth automating, the hours each one costs now, what we would build and a fixed price. If nothing is worth automating, we will say so.

  1. Find the bottlenecks

We sit with your team and follow the work as it really happens. You get a clear list of what to automate first and what it is worth.

  2. Build the system

We build into your existing tools and test against real work. It is only switched on when it beats the manual version.

  3. Hand you the keys

You own it. We train your team, document how it works and keep tuning it as your business changes.

Tools we work with

Built on the software you already pay for

We connect what you have rather than asking you to switch. Common tools include:

  • n8n
  • Make
  • Zapier
  • Xero
  • QuickBooks
  • Sage
  • Stripe
  • Gmail and Google Workspace
  • Microsoft 365 and Outlook
  • Slack
  • Microsoft Teams
  • HubSpot
  • Clay
  • Supabase

And most tools with an API. We work through your existing logins and permissions, so you stay in control of who can see what. If a tool cannot be connected safely, we will tell you and suggest another way.

Example

Matching receipts to bank lines, every week

A weekly check that reads receipts and matches each one to the right bank transaction. Anything it is not sure about goes to a person, so nothing is matched wrongly.

Each week the finance lead gets a short list of the receipts that need a look, with the likely match shown next to each one. Checking them takes minutes instead of an afternoon.

38 of 41receipts matched in testing
No wrong matches. The remaining 3 were flagged for review.
Is it a fit?

An honest answer before you spend anything

Automation is not always the right fix. We would rather tell you that early, during the audit, than build something that does not pay for itself.

A good fit if

  • Your work runs across several systems that do not talk to each other.
  • People repeat the same manual steps every day or week.
  • One person can make the decision and give us access.

Not a fit if

  • The work is all on paper, or all in one system.
  • The real fix is a new hire or a change to how the process works.
Pricing

Clear, fixed prices

Projects usually start with a free audit, then a fixed-price build, then an optional monthly retainer to run and improve it.

1. Audit Free

We map your admin and show you what is worth automating.

2. Build From £3,000

Designed, built, tested and handed over. One fixed price.

3. Retainer From £500 / month

Optional. We monitor, fix and keep improving the system.

The fixed price is agreed after the audit, so you know the cost before you commit.

FAQ

Questions owners ask us

What can be automated?

Most work that follows a pattern: copying data between systems, matching invoices and receipts, reading documents and emails, sending reminders, routing approvals and building regular reports. If a person does it the same way every week, it is usually a good candidate. The audit tells you which tasks are worth it.

How long does a build take?

A focused automation is usually live in two to four weeks. Larger projects that connect several systems take longer, and we break them into stages so you see results early. You get a timeline with the fixed price after the audit.

Do I need technical staff?

No. We build, test and connect everything. We then train the people who will use it, in plain language, and leave written notes so nobody depends on one person.

What happens if something breaks?

Every system we build has checks and alerts. If something fails, for example a supplier changes their invoice layout, the task is flagged for a person instead of being processed wrongly. On a retainer we monitor it and fix issues for you. Without one, we can fix things on request.

Who owns the system?

You do. It runs in your accounts, on your tools, and you keep the logins and documentation. There is no lock-in. If you stop working with us, it keeps running.

Is our data safe?

We work inside the tools you already use and give each automation access only to what it needs. We follow UK GDPR, sign a data processing agreement where needed, and agree with you which data can and cannot be sent to AI models.
